Bins
The Inventory module uses bins to define locations within warehouse where items are stored. When you perform inventory transactions, you must specify not only the item and warehouse, but the bin location of the item. The Bins page allows you to create and manage bins.
Every warehouse must have at least one bin defined before any items can be stored in the warehouse. When you create a new warehouse, a default bin is automatically created. You can delete the default bin if it is not needed.
To open the Bins page:
-
Open the Administration Menu page.
-
Under the INVENTORY ADMINISTRATION heading, click Bins.
Creating a bin allows you to define a specific physical location within a warehouse where items can be stored, for example, the West section, row 18, third shelf, bin 84-a.
To create a bin:
-
In the Warehouse field, select the warehouse where the bin will be located.
All bins that have been defined for that warehouse appear. You do not have to select a warehouse first, but it is good practice to examine the current list of bins before you create a new one. Both active and inactive warehouses are displayed.
-
Click the Create New link.
The Material Bin dialog box opens, allowing you to create the new bin.
-
In the Warehouse field, the name of the warehouse you selected is displayed.
You can select a different warehouse if you want to define a bin at a different location.
-
Enter values in the fields that define the physical location of the bin.
For Advanced Inventory, define values for Bin Loc1, Bin Loc2, Bin Loc3, and Bin Loc4.
For Basic Inventory, define values for Section, Row, Shelf, and Cabinet.
If any of these bin location names are inappropriate for your installation, they can be changed using the Translations page.
You do not need to define values for all of these fields, only the ones that are appropriate for your warehouse.
-
In the Bin field, enter a name for the bin.
The bin name can contain alphanumeric characters, punctuation, and spaces, and be up to 20 characters long. Each bin name must be unique within a warehouse.
-
In the Active field, select Yes to make this bin active.
Inactive values remain in the system, but are not displayed to users.
-
In the Max Quantity field, enter a value indicating the maximum quantity of items this bin can hold.
This value provides a quantity a guideline; it is not enforced by the system.
-
Click OK.
Bins can be modified to change the location, name, or maximum quantity. To edit a bin:
-
In the Warehouse field, select the warehouse where the bin will be located.
All bins that have been defined for that warehouse appear.
-
Click the Edit link to the right of the adjustment type you want to edit.
A dialog box opens displaying the current bin parameters.
-

- Bin Loc1/Section – the general warehouse area the bin is located in

- Bin – the name of the bin

- Max Quantity – the maximum quantity of items to be stored in the bin

The modified bin is displayed in the list.
Bins that have not been used can be deleted from the system.
If the bin has been used, it you cannot delete it. You can, however, edit it and set Active to No so that users can no longer access it.
