Inspection Scoring Types

Inspection scoring types define the scale on which an inspection or survey is scored, for example, Pass/Fail, High/Medium/Low, or on a scale from 1 to 10. To define a scoring type, you assign it a name, create individual scoring items, and determine how the score will be calculated.

To open the Inspection Scoring Types page:

  1. Open the Administration Menu page.

  2. Under the INSPECTION ADMIN heading, click Inspection Scoring Types.

To add a scoring type:

  1. In the Add Scoring Type field, enter the name of the new scoring type.

    This is the name that users will see when defining an inspection class, so it typically describes the scale (such as "Pass/Fail" or "1 to 10").

  2. Click ADD.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.

    The scoring type is added to the system.

    If an error occurs, it may be because the inspection item name is too long. Inspection item names must be 50 characters or less.

  4. In the Status field, select a scoring type status, either Active or Inactive.

    Active scoring types can be selected in the Scoring Type field when defining an inspection class.

    Once an inspection scoring type is used by an inspection, it cannot be deleted. You can, however, inactivate the scoring type so that is can no longer be used by any new inspections.

  5. Define the required scoring items by repeating these steps for each item.

    1. In the Add Scoring Item field, enter a name for the scoring item.

    2. Click ADD.

      The scoring item is added to the list in the yellow box.

    3. In the Include In Score field, select Yes to include the item in the score or No no exclude it.

    4. In the Value field, enter the desired score value for this item.

    5. Click UPDATE.

ClosedEdit a Scoring Type

You can edit an inspection scoring type, if needed. If a scoring type has never been used, you can modify any of the values associated with it. If the scoring type has been used, you should be cautious about modifying the associated scoring items (see note below). To edit a scoring type:

  1. In the Scoring Type field, select the scoring type you want to edit.

  2. To rename the scoring type, enter a name in the Rename field.

  3. Modify the scoring items.

    Once an inspection scoring type has been used with one or more inspection classes and inspection data has been created, adding, deleting, or changing the value of scoring items could adversely impact reporting or the interpretation of the inspection scores that were established. If a scoring type has been used, it is better to inactivate the old scoring type and create a new one than to change the number of scoring items or the associated values.

    • Scoring Item – edit the name of the scoring item
    • Include In Score – select Yes to include the item in the score or No no exclude it
    • Value – enter the desired score value for this item
  4. Click UPDATE.

ClosedTips for Deleting Inspection Scoring Types and Items

Follow these guidelines when attempting to delete an inspection scoring type or item:

  • If an Inspection Has Been Created – Once an actual inspection has been created using an inspection class that is based on a particular scoring type, the scoring type and scoring items can no longer be deleted. You can only inactivate the scoring type so that it is not used in the future.
  • Inspection Scoring Types – If an inspection scoring type has not yet been used by an actual inspection, it can be deleted. However, you cannot delete an inspection scoring type if it is associated with an inspection class or if it has any items defined. You must first delete every inspection class based on the scoring type and then also delete all of the inspection scoring items before you can delete it. In most cases, it is preferable to either edit the inspection scoring type to redefine it or to inactivate it.
  • Inspection Scoring Items – If the inspection scoring type has not been used by an actual inspection, you can delete an inspection scoring item that is no longer needed. If you do so, be sure to recalculate and modify the remaining item score values and the multiplier accordingly.
