Inspection Items

The Inspection Items page allows you to define the specific items within an inspection class to be inspected. For example, for an Exterior inspection class, you might create inspection items such as Sidewalks, Security Lighting, and Parking Lot. Once you create inspection items, they can be associated with an inspection on the Associate Items to Types page.

To open the Inspection Items page:

  1. Open the Administration Menu page.

  2. Under the INSPECTION ADMIN heading, click Inspection Items.

    The Edit Inspection Items page opens.

Adding an inspection item adds another item to an inspection class that can be associated with an inspection type. Not all items in a class must be used on any particular inspection. To add in inspection item:

  1. In the Inspection Class field, select the inspection class you want to define inspection items for.

  2. In the Add Inspection Item field, enter a name for the inspection item.

    Note:

    There is a 50 character limit on inspection scoring item names. If you create inspection items with longer names, errors will occur when you try to add the item to an inspection scoring type.

  3. In the Weight field, enter the weight or importance of this inspection item.

    The weight defines the relative importance of an item, compared to other items and is used in scoring calculations. For example, an item with a weight of 300 has three times the importance of an item with a weight of 100.

  4. Click ADD.

    The inspection item is added to the list. You can now further define the inspection item.

  5. In the Status field, select Active or Inactive.

    Inactive inspection items remain in the system, but cannot be used.

  6. The Type/SubType defines the type of work order that is created for an inspection. To define this value:

    1. Click EDIT.

    2. In the Type field, select the work order type.

    3. In the SubType field, select the work order subType.

    4. Click UPDATE.

  7. In the Area Type field, select any area type you want this item grouped with for reporting purposes.

  8. In the Include in Score field, select Yes to include this item when calculating the overall inspection score.

  9. Click the Display Details check box at the top of the page to display additional inspection item details you can define.

  10. In the Item Instructions field, enter any instructions that you want displayed with the item on inspections.

    For example, instructions may list precautions or information about how to take a specify type of equipment reading.

  11. In the Include in Report field, select Yes if you want the item included in the Asset Value Listing report.

  12. Click the Item Conditions link to select and associate one or more inspection conditions with this inspection item.

    If selected, a drop-down menu will appear with the item on inspections so that the user can select an Inspection Condition in addition to a scoring the item.

  13. In the External Item ID field, enter any item identifier used in conjunction with an external system.

  14. Click UPDATE.

ClosedDelete an Inspection Item

Inspection items that are not needed can be deleted from the system if it is not being used. You cannot delete an inspection item if it has been associated with any inspection types.

If an inspection item has been used but is no longer needed, you can edit it and make it inactive to prevent it from being displayed to users.

To delete an inspection item:

  1. Click the Delete link to the right of the inspection item you want to delete.

    A dialog box opens asking you to confirm your choice.

  2. Click OK.

The Other Options pane allows you to create inspection items by copying them from one inspection class to another. This provides a convenient shortcut for inspection classes that are similar and may contain similar items. For example, if you create inspection classes for Furnaces and Air Conditioners, you may want to copy the items from one as a starting point for the other.

To copy inspection items:

  1. In the Copy From Inspection Class field, select the inspection class you want to copy items from.

  2. Click COPY.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.

    All of the inspection items from the selected inspection class are copied to this inspection class. These items are not related to the items in the original class in any way. Therefore, you can delete any unneeded items from this inspection class without affecting the inspection class the items were copied from.
