Department Details

The Department Details page allows you to view detailed information about a department, including the company the department is associated with, and any parent or child departments in the department's hierarchy.

To open the Department Details page:

  1. Open the Administration Menu page.

  2. Under the COMPANY ADMIN heading, click Department Details.

  3. Click the Select Department button to select the department you want to examine.

    A dialog box opens, allowing you to enter search criteria and select a department.

  4. Click the department name link.

The following panes of information are displayed:

ClosedDepartment Information

This pane provides general information about the department. Clicking the Edit Department link allows you to modify any of these values.

  • Department # – the name/number of the department
  • Department Description – a unique description of the department
  • Authorizing Manager – the name of the authorizing manager for the department
  • Company – the company the department is associated with
  • Org Code – the organization code associated with the department
  • Status – the status of the department, either Active or Inactive

Edit Department Information

You can edit certain department information directly from the Department Details page. However, if you want to change the authorizing manager or the company, you must open the Departments page to do so.

To edit department information:

  1. Click the Edit Department link.
  2. Modify any of the following values:

    • Department # – the name/number of the department
    • Department Description – a short description of the department; this description must be unique across all departments
    • Org Code – the organization code associated with the department
    • Status – the status of the department, either Active or Inactive

  3. Click UPDATE.

ClosedCompany and Manager Information

This pane displays information about the company and manager associated with this department. This information is inherited from the selected company and cannot be edited.

  • Company Name – the name of the company
  • Company Address – the address of the company
  • Phone – the company's phone number
  • Web Site – a link to the company's web site
  • Status – the status of the company, either Active or Inactive
  • Manager Name – the name of the manager of the department
  • Manager Email – the email address of the department manager
  • Manager Phone – the phone number of the department manager
  • Manager Address – the address of the department manager

ClosedDepartment Hierarchy

The Department Hierarchy pane lists the parent department and the child departments for the selected department, if they are defined. This pane only displays the direct parent and direct children of the selected department, not grandparent or grandchild departments.

A department is allowed to have one parent department and multiple child departments. Each department appears as a link, and clicking that link displays the Department Details page for the selected department.

Add a Parent Department

  1. Click the Add link in the Parent Department section of the pane.

    A dialog box opens allowing you to locate and select a department. Only existing departments can be added as parent departments. If you need to create a new department, you can do so on the Departments page.

  2. Enter your search criteria and click FIND.

    A list of available departments appears. The system prevents you from creating circular department hierarchies.

  3. Click the Department Number link for the parent department.

    The selected department is displayed in the pane. A department can have only one parent.

Remove a Parent Department

  1. Click the Remove parent link.

    The parent department association is removed.

Add a Child Department

  1. Click the Add link in the Child Departments section of the pane.

    A dialog box opens allowing you to locate and select a department. Only existing departments can be added as child departments. If you need to create a new department, you can do so on the Departments page.

    Note:

    If department-based security is enabled, granting a user security rights to a parent department's spaces grants rights to all of the child department's spaces as well, unless they are explicitly excluded.

  2. Enter your search criteria and click FIND.

    A list of available departments appears. The system prevents you from creating circular department hierarchies.

  3. Click the Department Number link for the child department.

    The selected department is displayed in the pane. A department can have multiple children.

Remove a Child Department

  1. Click the Remove link to the right of the child you want to delete.

    The child department association is removed.

ClosedDepartment Users

This pane displays information about the users who have been granted security rights to the spaces associated with this department when department-based security has been enabled. This information is inherited from the user security settings and cannot be edited.

  • User – the name of the user who has security rights to this department

  • Default Department – the default department associated with this user

  • Access Space – Yes if the user has Access Space security rights

  • Edit Space – Yes if the user has Edit Space security rights

  • Space Reports – Yes if the user has Space Reports security rights

  • Surveyor – Yes if the user has security rights to create or edit space surveys

  • Approver – Yes if the user has been designated as a space survey approver

  • Approval Level – If the user has been designated as a space survey approver, you can edit this value to indicate his approval level. You can assign a value from 1 to 9 that indicates the user's approval level and defines an approval level sequence (from 1 to 2 to 3…).
