Asset Document Types

Asset Document Types are used to identify the types of documents that can be associated with an asset, for example, Operations Manual or Warranty. These values populate the Document Type drop-down menu on the Asset module's Add Asset Document page.

To open the Asset Document Types page:

  1. Open the Administration Menu page.

  2. Under the ASSET ADMIN heading, click Asset Document Types .

To add a document type:

  1. In the Add Document Type field, enter the name of the document type.

    This is the value that will be displayed to users.

    Asset document type names must be unique. If you attempt to add an asset document type that already exists, an error message will appear. The system does not consider asset document type names that are differentiated only by character case or spaces to be unique. For example, if you create an asset document type named "Field Manual", creating an asset document type named "fieldManual" or " Field Manual " is not allowed.

  2. In the Image Type field, select Yes to indicate that the document is an image, not text.

  3. Click ADD.

    A dialog box opens asking you to confirm your choice.

  4. Click OK.

Once you have created a document type, you can further define it or edit it. To edit a document type:

  1. In the Document Type field, select the type to edit.

  2. In the Image Type field, select Yes to indicate that the document is an image, not text.

  3. To change the name of the document type, enter a value in the Rename field.

    All historical information will reflect the new value.

    Asset document type names must be unique. If you attempt to rename an asset document type to a name that already exists, an error message will appear. The system does not consider asset document type names that are differentiated only by character case or spaces to be unique. For example, if the asset document type "Field Manual" exists, renaming an asset document type "fieldManual" or " Field Manual " is not allowed.

  4. To change the status, select a value in the Status field.

    Document types with a status of Inactive are not displayed to users. However, inactivating an document type does not affect the existing assets that utilize it.

  5. Click UPDATE.

ClosedDelete a Document Type

Document types that have not been used can be deleted from the system. To delete a document type:

Document types that have been associated with an asset cannot be deleted, but they can be inactivated to prevent users from accessing them.

  1. In the Document Type field, select the value to delete.

  2. Click DELETE.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.
