Asset Classes

Asset classes are categories used to organize sets of similar assets, for example, Air Compressors, Elevators, or Vehicles. When an asset is created using the Asset module, the user must specify the asset class it belongs to.

Asset classes are organized into larger asset groups, and it is these asset groups that users are granted security rights to access. Therefore, an asset class must be associated with one or more asset groups for it to be accessible in the Asset module. For more information, see Asset Groups and User Security.

To open the Asset Classes page:

  1. Open the Administration Menu page.

  2. Under the ASSET ADMIN heading, click Asset Classes.

Adding an asset class allows you to define an asset grouping that users see in the Asset Class drop-down menu when creating an asset. To add an asset class:

  1. In the Add Asset Class field, enter a name to describe the type of assets in the class.

    Asset class names must be unique. If you attempt to add an asset class that already exists, an error message will appear. The system does not consider asset class names that are differentiated only by character case or spaces to be unique. For example, if you create an asset class named "My Class", creating an asset class named "myClass" or " My Class " is not allowed.

  2. Click ADD.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.

    Note:

    A new asset class must be added to an asset group to be available to users. Each user only sees the asset classes contained in the asset groups he has security rights to.

Once you have created an asset class, you can further define it or edit it. To edit an asset class:

  1. In the Asset Class field, select the asset class to edit.

  2. To change the display order, enter a value in the Tab Order field.

    The Tab Order indicates the position, in menus, where this value will be listed. Lower numbered values are displayed toward the top of the list. Values will the same tab order will be sorted alphabetically.

  3. To change the name of the asset class, enter a value in the Rename field.

    All historical information will reflect the new value.

    Asset class names must be unique. If you attempt to rename an asset class to a name that already exists, an error message will appear. The system does not consider asset class names that are differentiated only by character case or spaces to be unique. For example, if the asset class "My Class" exists, renaming an asset class "myClass" or " My Class " is not allowed.

  4. If you are using the Asset Tagger, enter a value in the Asset Class Tagfield.

    This value specifies the desired prefix for system-generated asset numbers for assets in this class. For example, entering ELV for elevators would create elevator asset numbers such as ELV-102.

  5. To change the status, select a value from the Status field.

    Asset classes with a status of Inactive are not displayed to users. However, inactivating an asset class does not affect the existing assets that utilize it.

  6. Click UPDATE.

Asset classes that have not been used can be deleted from the system.

Asset classes that have been used cannot be deleted, but they can be inactivated to prevent users from accessing them.

To delete an asset class:

  1. In the Asset Class field, select the asset class to delete.

  2. Click Delete.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.
