User Distribution

The User Distribution link is displayed at the top right corner of the Edit User Page. Clicking the User Distribution link generates an HTML report indicating everything that the user is currently associated with. This report can be used to determine what changes need to be made before a user can be inactivated. Key elements of this report are:

  • Schedules Assigned – Lists all open schedules assigned to the user. This information refers to original schedules only. It does not display individual work tickets associated with a schedule that was not originally assigned to the user.
  • Requests Assigned – Lists all open work orders assigned to the user. This information includes all future reactive requests.
  • Assets Auto-Assigned – Lists all assets where this user is the person to whom work requests involving this asset are automatically assigned.
  • Request Types Escalate To – Lists all property request for which the user is the escalate to person. For more information see Property Request Types.
  • Service Request Notifications – Lists all properties for which the user is the request notification contact. For more information, see Property Notifications.
  • Default Contact of Properties – Lists all properties where the user is the default contact.
  • Default Contact of Spaces/Floors – Lists all spaces/floors within properties where the user is the default contact.
  • Email Groups – Lists email groups that the user is a member of. For more information, see Email Groups.
  • Incident Notifications – Lists all regions and properties for which the user is the incident notification contact. For more information, see Incident Notifications

You can use the options available in the Other Options section of the Edit User page to quickly reassign a user's open work orders, schedules, notification rules and default properties to another user in preparation for inactivation. Memberships in email groups must be manually modified.
